THE ROLE

Reporting to the Studio Manager, the Production Coordinator will provide administrative support to BAYCAT Studio. This position is responsible for maintaining the organization's production operations and to keep all business and administrative aspects of BAYCAT productions running smoothly. 

WHAT THIS LOOKS LIKE

Client Relations and Customer Service

  • Respond to client inquiries in a warm, responsive and professional manner to schedule intake calls for new business development opportunities

  • Assist with keeping accurate and up-to-date records of BAYCAT's database via Salesforce and Asana

  • Coordinate and support the production and marketing of annual BAYCAT community events

 

Project and Operations 

  • Maintain a shared BAYCAT information system that includes contact lists, emails, production schedules and department calendars

  • Help manage a master calendar for all  BAYCAT Studio projects

  • Facilitate internal and external meetings and provide note-taking support

  • Coordinate materials for meetings with clients and talent to ensure a successful production 

  • Develop, maintain and effectively execute project plans throughout the life of assigned project(s) according to established procedures, channels and success expectations

  • Perform research pertinent to the development of each video creative concept

  • Prioritize and produce project work in a timely manner according to project deadlines

  • Lead the finalization of all productions’ logistics before filming 

  • On-set Production Coordinator to help production stay on schedule

Business Management

  • Provide administrative and/or production support to Producers and Executives as assigned

  • Book travel, hotel and/or group meeting arrangements as needed

  • Provide creative input during project conceptualization, take detailed notes and perform other duties per BAYCAT's needs

 

WE ARE LOOKING FOR SOMEONE WHO:

  • Has a track record of accomplishing goals on a project basis. 

  • Has professional experience in media production and understands a studio workflow.

  • Has experience with coordination and direct service to BIPOC youth / young adults. (optional)

  • Is committed to anti-racism and has a desire to lead initiatives to further embrace equity and inclusion within BAYCAT.

  • Is detailed oriented, organized, a compassionate team player and a great communicator.

  • Is knowledgeable about project management and outreach tools. Asana, Google Suite. MailChimp, etc.

  • Passion for using media and social media platforms as a tool to create a positive community impact.

  • Familiarity and excitement for building community both digitally and in real life.

  • Commitment to personal and professional growth, and aligned with BAYCAT's values.

THE DETAILS

  • This is a permanent full time hourly position. 

  • Compensation range: $52k - $56k (or about $25-$27/hour).

  • Benefits include: Medical insurance paid 85% by BAYCAT, dental and LTD/Life insurance paid 100% by BAYCAT, annual wellness stipend, home office setup stipend, monthly internet reimbursement, Employee Assistance Program (EAP), annual professional development stipend, 4 personal days off per year, 15 holidays per year, 2.5 weeks accrued vacation to start, 8 days accrued sick time, paid 30 min lunch, no meeting Fridays.

  • Location: This role will be a hybrid role, which means the opportunity to work remotely part time and  to be onsite at our San Francisco, CA location or on production sets throughout the Bay Area.

  • Must be able to work 40 hours per week. BAYCAT observes a meeting-free Friday and encourages all team members to use Fridays to catch up on work as needed.

TIMELINE

  • Week of 8/9 → 2nd round zoom/in person interviews.

  • Week of 8/23 → 3rd round interviews, if needed. 

  • August 30 → Final offer made.
